We collect account and fellowship application details to run the Be Well AI Venture Fellowship — not to sell lists.
Your contact information and application responses stay with Be Well Incubator. We use them only to operate the fellowship program, evaluate candidates, and coordinate with staff and mentors.
What we collect
Depending on how you use the site and app, we may collect: name; email address; mobile phone number; city, state, country, and time zone; LinkedIn, GitHub, or portfolio URLs; employer or school and title; fellowship application responses (including free-text answers); signature and certification timestamp; and account identifiers (Auth.js session; Microsoft Entra ID for staff only).
No PHI / HIPAA. This product does not collect protected health information or HIPAA-regulated clinical data. Scope is incubator fellowship and venture project coordination — not medical treatment.
How we store and use data
Data is stored in Neon Postgres and served by our Vercel-hosted application. We use Resend for email verification and notices, Twilio for SMS authentication and (when you opt in) transactional texts, and Microsoft Entra ID when staff sign in with Be Well IT credentials. We keep records only as long as needed for program operations, account security, service delivery, and compliance (including proof of messaging consent).
Phone numbers and text messages
We may collect your mobile phone number when you use Phone OTP sign-in and/or when you opt in to receive transactional text messages from Be Well Fellowship.
Message frequency. For Phone OTP, message frequency varies (typically one authentication code per sign-in request). For fellowship program texts after you opt in, you may receive up to about eight messages per month depending on your application and program activity. Staff who enable SMS may receive operational pipeline alerts that vary with candidate activity. Message and data rates may apply.
Authentication (OTP). If you choose Phone OTP sign-in, we use your number to send a one-time authentication code and to identify your account. Message and data rates may apply.
Fellowship program texts. If you opt in (unchecked consent checkbox on signup or in account settings), we may send automated transactional SMS about application status, requests for additional information, scheduling, program milestones, and related reminders, including links to complete required steps at https://fellowship.bewellincubator.com. These messages are service-related, not marketing or promotional advertising. Reply HELP for help or STOP to cancel program texts anytime. Message and data rates may apply.
Staff operational texts. Be Well Fellowship staff who enable SMS notifications may receive automated transactional alerts about candidate pipeline activity (for example new applications or review updates). These are internal operational messages, not marketing. Reply HELP for help or STOP to cancel staff SMS anytime. Message and data rates may apply.
Non-sharing of mobile numbers. We do not sell or share mobile numbers with third parties or affiliates for marketing or promotional purposes. We use Twilio to deliver authentication codes and (when you opt in) program or staff texts; Twilio processes your number only to send, deliver, and (for OTP) verify those messages.
Partner referrals and outreach contacts
If a faculty member, club officer, or other partner refers you through our partners form, we may temporarily store your name and email so staff can review the referral before sending an invite. We do not auto-email you from that form. Referral data is never sold or shared for marketing. Invite emails include a one-click decline link that permanently deletes the referral record. To request deletion sooner, email fellowship@bewellincubator.com.
When we email partner organizations about the fellowship, messages include an unsubscribe link. We do not send marketing SMS to partner contacts.
Deleting your account
See delete your account for the full process and what is removed. You can delete your account at any time from Account settings. Deleting removes your account and everything that identifies you: your sign-in credentials, your name, email, and phone number, every answer you wrote in your application, your links, employer, school and city, and the notes from any calls or emails with our staff. This cannot be undone, and you would need to apply again from the start.
We keep a de-identified record that an application was submitted and reviewed — its date, outcome, broad region, referral source, and our reviewers’ scores. Your name is replaced, your email address is replaced with a non-routable placeholder, and the record is unlinked from your account, so it cannot be traced back to you. We keep it so our reporting on how many people apply and how consistently we assess them remains accurate.
Accepted fellows and Be Well staff cannot delete their own accounts from the site, because those records include signed agreements or IT-managed identities. Email fellowship@bewellincubator.com and we will delete the account within 30 days, except where we are required to retain records for legal or compliance reasons (including proof of messaging consent).
